OBJECTIVES OF THE PROGRAMME :
To provide secretarial/clerical assistance to the Bloomberg Initiative Team.
Description of duties:
1. Makes searches, provides background and prepares drafts of correspondence of non-technical nature.
2. Types correspondence, documents, reports, papers, prepares presentations in connection with the programmes under TFI, and proofreads for corrections.
3. Makes photocopies, finalizes and dispatches all outgoing correspondence related to TFI.
4. Keeps copies of important correspondence for follow up and files all correspondence on a daily basis in the Division’s mini registry.
5. Makes all arrangements regarding the duty travel of the Bloomberg Initiative Staff and any other professional staff related to TFI unit.
6. Takes appointments for Bloomberg Initiative Staff and reminds them of any deadlines.
7. Handles travel arrangements for the Bloomberg Initiative team (issues TAs, makes hotel reservations, preparation of travel documents, visas, security clearances, etc.).
8. Makes all administrative preparations regarding inter-country activities prepared by the unit.
REQUIRED QUALIFICATIONS
Education:
Secondary education supplemented by secretarial training.
Skills:
- Typing in English at the standard speed established by the Organization.
- Good knowledge of WHO rules, manuals, practices/procedures and routine.
- Good knowledge of modern office procedures and ability to operate PC.
- Good filing and organizational skills.
- Ability to maintain good working relationships with national and international staff.
Experience:
At least three years secretarial experience.
Languages:
Fluency in Arabic and English.
